Terms of Service

These Terms of Service ("Terms") are an agreement between you and Solvesoft Corp ("ClaveLog," "we," "us"), a company based in Milton, Ontario, Canada, governing your use of the ClaveLog service at clavelog.com. By creating an account or using ClaveLog, you agree to these Terms. If you are agreeing on behalf of a practice, you confirm you are authorized to bind that practice.

1. What ClaveLog is

ClaveLog is a vendor-neutral, cloud-based record-keeping tool that helps dental and medical practices log autoclave loads, track spore (biological) tests from any lab, record waterline and training activity, and generate an inspector-ready compliance packet. It is a documentation tool — it records what your practice does; it does not perform sterilization or verify that your practice is compliant.

2. Accounts and your responsibilities

  • You must provide accurate account information and keep it current.
  • You are responsible for safeguarding your login credentials and for all activity under your account, including logging done on shared trusted devices you authorize.
  • You are responsible for the accuracy and completeness of the compliance data your practice enters. ClaveLog stores and formats what you record; it does not fact-check it.
  • Notify us promptly at support@clavelog.com if you suspect unauthorized access.

3. Subscriptions and billing

  • Free trial. New practices get a 14-day free trial. A payment method is required to start the trial; you will not be charged until the trial ends, and you can cancel before then to avoid any charge.
  • Pricing. ClaveLog is billed per practice location, on the plan you select. See the pricing page for current rates. Plans are available monthly or annually; annual billing is discounted.
  • Renewal. Subscriptions renew automatically at the end of each billing period at the then-current rate for your plan, until you cancel.
  • Cancellation. You can cancel anytime from the billing portal inside your account. Cancellation stops future renewals and takes effect at the end of your current paid period. Fees already paid are non-refundable except where required by law.
  • Taxes. Prices are exclusive of any applicable taxes, which we may add where required. Payments are processed by Stripe.

4. Acceptable use

You agree not to:

  • Enter any patient data or protected health information (PHI) into ClaveLog. The product is designed to stay out of HIPAA scope, and you must keep it that way.
  • Use ClaveLog to falsify, backdate, or fabricate records, or in any way intended to deceive an inspector or regulatory body.
  • Break the law, infringe others' rights, or violate any regulation through your use of the service.
  • Attempt to breach security, access other practices' data, reverse-engineer, scrape, or disrupt the service.
  • Resell or provide the service to third parties except your own practice locations and staff.

5. Compliance disclaimer — read this

ClaveLog is a record-keeping tool and is provided for informational purposes only. It does not constitute legal, regulatory, or professional compliance advice, and using ClaveLog does not certify or guarantee that your practice is compliant with any law, regulation, or standard.

Our state-requirement summaries and any guidance shown in the product or on our public pages are informational. Regulations change. You remain solely responsible for understanding and meeting the sterilization-monitoring, record-retention, and infection-control requirements that apply to your practice. Always confirm current requirements with your state dental board, the relevant regulatory authority, or a qualified compliance professional.

ClaveLog does not verify the accuracy or completeness of the data you enter, does not inspect your practice, and is not affiliated with any spore-test laboratory, sterilizer manufacturer, or regulatory body. An inspector-ready packet reflects the data your practice recorded — nothing more. Responsibility for actual compliance stays with the practice.

6. Your data and ownership

Your practice owns the compliance records it enters into ClaveLog. We claim no ownership of your data. We store, process, and display it to provide the service, as described in our Privacy Policy.

You can export your full history as an inspector-ready PDF at any time. Compliance records are append-only and kept with a tamper-evident audit trail; corrections and voids preserve the original entry, the reason, and who made the change. On account closure we retain records only as needed for legal, billing, and audit purposes, then delete them.

7. Service availability and changes

We work to keep ClaveLog available and reliable, but we do not guarantee uninterrupted service. We may update, improve, or modify features over time. If we plan to discontinue a material part of the service, we will give reasonable notice and let you export your data first.

8. Warranty disclaimer

ClaveLog is provided "as is" and "as available," without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be error-free, uninterrupted, or that it will cause you to pass any inspection or meet any regulatory requirement.

9. Limitation of liability

To the maximum extent permitted by law, ClaveLog and Solvesoft Corp will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost data, or regulatory penalties, arising out of or related to your use of the service.

Our total aggregate liability for any claim arising out of or relating to these Terms or the service is limited to the amount you paid us for the service in the twelve (12) months preceding the event giving rise to the claim. Some jurisdictions do not allow certain limitations, so some of these may not apply to you.

10. Indemnification

You agree to indemnify and hold harmless Solvesoft Corp from claims, losses, and expenses arising from your misuse of the service, your violation of these Terms, or your entry of prohibited data (including any PHI) into ClaveLog.

11. Termination

You can stop using ClaveLog and cancel at any time from the billing portal. We may suspend or terminate an account that violates these Terms or that we are legally required to act on. On termination, your right to use the service ends; before that point you can export your records, and we handle any remaining data as described in our Privacy Policy.

12. Governing law

These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there, without regard to conflict-of-law rules. You agree to the exclusive jurisdiction of the courts located in Ontario, Canada for any dispute that is not otherwise resolved.

13. Changes to these Terms

We may update these Terms from time to time. If we make a material change, we will update the date above and, when appropriate, notify you. Continued use of ClaveLog after a change means you accept the updated Terms.
